Front Desk and Clinic Coordinator – OSM Portland

Oregon School of Massage has an opening for a Front Desk and Clinic Coordinator. This position will be 32-38 hours per week. Compensation is $17-$19 per hour plus sick and vacation time, paid holidays and profit-sharing options.
The Front Desk and Clinic Coordinator supports all areas of Administration. Duties include:
  • The person in this position will oversee student clinic scheduling and records.
  • Managing phone system, checking voicemail, and routing incoming calls and faxes
  • Guest registration and check-in
  • Covering OSM Bookstore as needed, including handing retail transactions
  • Ensuring lobby and break areas are clean and well-stocked
  • Other Administrative tasks as determined by staff supervisor
In addition, the ideal candidate will have the following qualifications:
Essential qualifications:
Exceptional customer service, time management, organization, and communication skills (both oral and written)
  • Experience with MS Office and a willingness to learn new software
  • Comfortability with being a team player in a busy environment with minimal supervision
  • Confidentiality, tact, and flexibility
Preferred qualifications:
  • Understanding and modeling of OSM’s mission and values
  • Ability to explain OSM’s body/mind/spirit-based curriculum and operational philosophy

Facilities Coordinator and Office Assistant

Reports To: Administrative Supervisor, President

DESCRIPTION

This position is primarily responsible for addressing instructor, staff, and client needs as they relate to space, equipment, and physical assets.  This is also a key customer service role, responsible for student registrations, equipment availability and rentals, cashiering duties, and office administration assistance.

JOB DUTIES – Overview

Ø  Facilities Coordinator

  • Anticipate Set-up and Facility needs, coordinate with other staff to ensure completion
  • Monitor facility for appropriateness & cleanliness of supplies and equipment.
  • Ring up sales in Bookstore POS
  • Check equipment status, and handle any equipment or facility issues that might arise, including and contacting appropriate individuals as needed for repair, replacement, or reporting
  • Oversee maintenance of Property and equipment records
  • Contracts with external providers
  • warranties, instructional info
  • key lists and logs
  • Liaison between CE instructors & OSM facility operational requirements.
  • Classroom Set up (Morning set up by 9am, Afternoon between 12 and 130, Evening between 430 and 630, and Weekend class/event setup) and Supply, including ordering of supplies as needed
  • Facility space management, including
  • Student Practice Space
  • Room Rentals
  • Liaison between OSM & our janitorial service
  • Break cleaning schedule
  • Manage the Rental equipment (chairs, tables, etc)
  • Rental schedule binder
  • Damage reports and action taken
  • Pulling equipment for classes or events
  • Physical asset and inventory management, including annual report submitted to bookkeeper
  • Take responsibility for identifying cross-training opportunities, for yourself to understand other roles more fully, or for others to better understand your role
  • Assist other departments as needed

Ø  Office Assistant

  • Answer phones (#3 or 4)
  • Store closing/opening support
  • Attend Staff Meetings
  • Manage communications:  email or call staff, students, faculty
  • Make copies, file paperwork, organize handouts, run reports, prepare packets, edit materials, ….
  • IT support as able
  • New hire support:

o   Update Phone Tree

o   Update Anniversary List

o   Update Birthday List

Ø  Assistant to President

  • Help process and compose emails and paperwork
  • Assist in office and file organization
  • Help organize and set up for Caring Touch, Massage Connections, or similar events
  • Assist with projects as needed

MINIMUM QUALIFICATIONS

  • Excellent communication skills, oral and written
  • Professional, discreet, warm demeanor
  • Experience with MS Office; willingness to learn new software
  • Familiarity with record-keeping and general office functions
  • Exceptional customer service, time management, and organizational skills
  • Efficient and comfortable working under minimal supervision
  • Tactful, confidential, flexible team player
  • Ability to lift and carry 40 lbs daily

Preferred Qualifications

  • LMT or massage experience; knowledge of healing arts or healthcare a plus
  • Knowledge of FERPA and HIIPA regulations

Instructor Positions – Portland & Salem

Oregon School of Massage is seeking massage and bodywork instructors for both campuses. Oregon School of Massage is a professional, vocational school licensed by the State of Oregon and approved by the Oregon Board of Massage Therapists. Ideal candidates will have integrated teaching experience (i.e. teaching that engages the student in both objective and subjective aspects of the subject matter), a clinical background as a massage therapist or other health care provider, and additional training or experience in personal growth.
